Welcome to Eastern Voyages! Please read our Reservation Policy carefully, before making any bookings. By making a reservation with us, you agree to the following terms and conditions:
1. Reservation Process
Booking Inquiry: Reservations can be made through our website, via email, or by calling our customer service. Upon receiving your inquiry, we will provide you with a detailed itinerary, pricing, and availability.
Confirmation: To confirm your reservation, we require a deposit as specified in the booking confirmation. The remaining balance must be paid as per the payment schedule provided at the time of booking.
Deposit: A non-refundable deposit of 10% is required to secure your booking. This deposit will be deducted from the total cost of your trip.
Payment Methods: We accept payments through credit/debit cards, bank transfers, and other methods as specified on our website. All payments must be made in Indian Rupees (INR) unless otherwise specified.
2. Pricing and Inclusions
Package Prices: All prices quoted are per person unless stated otherwise. Prices are subject to change without prior notice and are based on the current rates, taxes, and exchange rates. Any increase in these costs will be reflected in your final payment.
Inclusions: The cost of your trip includes only those items and services specified in your itinerary. Generally, this may include accommodation, transportation, meals, and guided tours. Optional activities, entry fees, and other personal expenses are not included unless stated.
Exclusions: Items not explicitly mentioned as included in the package, such as visas, insurance, personal expenses, and optional tours, are the responsibility of the traveller.
3. Cancellation Policy
Cancellation by Client: If you need to cancel your reservation, please notify us in writing as soon as possible. The following cancellation charges will apply:
- More than 60 days before departure: 15% of the total cost.
- 41 to 50 days before departure: 50% of the total cost.
- 31 to 40 days before departure: 75% of the total cost.
- Less than or equivalent to 30 days (One Month) before departure: 100% of the total cost.
Cancellation by Eastern Voyages: We reserve the right to cancel any reservation at our discretion due to unforeseen circumstances, including but not limited to natural disasters, political instability, or low enrolment. In such cases, you will receive a full refund of all payments made to us, or the option to transfer to another trip.
Refunds: Refunds will be processed within 15-30 days of the cancellation notice. Please note that the initial deposit is non-refundable, and certain costs, such as permits or airline tickets, may be non-refundable or subject to the terms of the supplier.
4. Amendment Policy
Changes by Client: If you wish to make any changes to your booking after confirmation, such as altering travel dates, accommodation, or the itinerary, please contact us as soon as possible. We will do our best to accommodate your request, but please note that changes are subject to availability and may incur additional costs.
Changes by Eastern Voyages: In the unlikely event that we need to make changes to your itinerary or services due to circumstances beyond our control, we will notify you as soon as possible and offer suitable alternatives. If no suitable alternative is available, we will offer a refund for the portion of the trip that was affected.
5. Travel Insurance
Recommendation: We strongly recommend that all travellers purchase comprehensive travel insurance that covers trip cancellations, medical emergencies, personal liability, and loss of personal belongings. Please check the policy carefully to ensure that it meets your needs.
Liability: Eastern Voyages is not liable for any loss, injury, or damage sustained during your trip. Insurance claims should be filed directly with your insurance provider.
6. Special Requirements
Health and Fitness: Some trips may require a certain level of physical fitness. It is your responsibility to ensure that you are medically and physically fit to participate in the activities included in your itinerary.
Accessibility: If you have any specific accessibility needs, please let us know in advance so we can assess the feasibility of your request and make necessary arrangements.
7. Travel Documents
Passports and Visas: It is the traveller’s responsibility to ensure that they have valid passports, visas, and other necessary travel documents. Eastern Voyages cannot be held responsible for any issues arising from improper documentation.
Permits: For certain destinations, special permits may be required. We will assist you in obtaining these permits, but it is your responsibility to provide the necessary information and documentation.
8. Client Conduct
Behaviour: We expect all clients to behave respectfully towards fellow travellers, guides, and locals. Any conduct deemed inappropriate or disruptive may result in termination of your trip without refund.
Responsibility: You are responsible for your own actions and any damage caused by your actions during the trip. Any costs incurred as a result of such actions will be your responsibility.
9. Dispute Resolution
Governing Law: This Reservation Policy is governed by and construed in accordance with the laws of India.
Dispute Resolution: In the event of any disputes arising from or in connection with this policy, the parties agree to seek resolution through good faith negotiations. If a resolution cannot be reached, the dispute shall be submitted to the exclusive jurisdiction of the courts in Guwahati, Assam, India.
